Job Summary:

The Junior Workforce Management Analyst will support in the planning, optimization, and transformation of our workforce operations as a member of our Business Intelligence team. This role combines analytical and system expertise with cross-functional collaboration to ensure the right people are in the right place at the right time. Working under the guidance of the Business Intelligence Senior Manager, you’ll help maintain workforce systems, analyze performance data, and provide insights that contribute to operational success. Key Responsibilities:

 

Workforce Support & Scheduling

  • Assist in maintaining workforce schedules, shift templates, and timekeeping records
  • Support short-term forecasting and staffing analysis using historical data and operational inputs
  • Monitor daily and weekly performance metrics and flag potential staffing or adherence issues

System Administration & Support (Shiftlab, ADP)

  • Help configure and update schedules, work rules, and pay rules in UKG Workforce Management (training provided)
  • Support timecard reconciliation, exception tracking, and data validation to ensure compliance with payroll and labor requirements
  • Assist with troubleshooting system errors or data discrepancies in coordination with HR and Payroll teams

Data Analysis & Reporting

  • Generate recurring reports to support scheduling, attendance and labour tracking using tools such as Excel, SQL, Power BI, and WFM platforms
  • Compile, clean, enhance and maintain workforce data for analysis and dashboards using Excel or reporting tools to ensure accurate visibility into KPIs, trends and workforce performance
  • Contribute to the development and maintenance of documentation for processes and procedures

Training & Field Collaboration

  • Support user training on system configurations and scheduling processes
  • Create and maintain up-to-date documentation, job aids, and SOPs for end-users
  • Present workforce planning insights and recommendations to cross-functional leadership teams

Qualifications:

  • Diploma or Bachelor’s Degree in Business Administration, Data Analytics, Information Systems, Statistics, Human Resources, or a related field; equivalent experience will be considered
  • Experience in workforce support, scheduling, planning, or related operations preferred
  • Exposure to Shiftlab, ADP or other workforce management systems is an asset
  • Experience in Telecommunications and retail sales is an asset

Skills & Competencies:

 

Technical & Analytical

  • Expert-level proficiency with MS Excel; strong experience with Power BI and/or data visualization tools
  • Familiarity with APIs, SFTP, and system integrations
  • Proficiency in workforce management systems is a plus
  • Strong problem-solving, root-cause analysis, and critical thinking skills
  • Ability to work with complex data sets and translate insights into strategic actions
  • Skilled in balancing day-to-day operational needs with long-term strategic initiatives
  • Willingness to learn technical configuration of workforce systems

Communication

  • Clear written and verbal communication skills
  • Willingness to ask questions and collaborate across teams
  • Ability to understand and explain data trends or discrepancies to non-technical stakeholder

Organizational & Adaptive Abilities

  • Highly organized with a strong ability to prioritize, manage multiple projects, and meet tight deadlines
  • A bias for action, ownership mentality, and a drive for continuous improvement
  • Flexible and adaptable in a fast-paced, evolving environment
